Cover Letter Format: The Layout, Three Samples, and the Word File

One page, block layout, three paragraphs: the role and your fit, the evidence, the company and the ask. Here is the exact section order, filled samples for a fresher, an experienced applicant and an email application — and the DOCX skeleton, free, no signup.

The cover letter format, top to bottom

    Your name and contact line

    Full name in bold, then one line: city, phone, email, LinkedIn. Same header style as your resume.

    Date

    Written in full: 12 September 2026. Not 12/09/26.

  3. 3

    Recipient

    Hiring manager’s name and title if you can find them (LinkedIn, the posting, a call to reception); otherwise "Hiring Manager", then the company name and city.

  4. 4

    Subject line

    "Application for [Job Title] — [Job ID]". Expected in India; bold; one line.

  5. 5

    Greeting

    "Dear Ms. Rao," beats "Dear Sir/Madam". "Dear Hiring Manager," when you have no name. Never "To whom it may concern".

  6. 6

    Paragraph 1 — the role and your fit

    2–3 lines. Name the role and where you saw it, then your single strongest matching point. Skip "I am writing to apply for".

  7. 7

    Paragraph 2 — the evidence

    4–6 lines. Two or three requirements from the posting, each with an example and a number. Use the posting’s own words.

  8. 8

    Paragraph 3 — the company and the ask

    2–3 lines. One specific reason for this company, your availability or notice period, and a clear next step.

    Sign-off

    "Sincerely," or "Regards," — then your typed full name and phone number. "Enclosure: Resume" if attached.

Subject: Application for Software Developer (Job ID SD-0926)

Dear Ms. Iyer,

I am applying for the Software Developer position at Nimbus Labs advertised on your careers page. I graduated in B.Tech (CSE) from XYZ Institute this June with a CGPA of 8.2, and I have two production web applications and a backend internship that map directly to the Java and REST API requirements in the posting.

During my internship at Acme Fintech, I built four REST endpoints in Spring Boot for a KYC status service, wrote 60+ unit tests, and fixed nine production bugs in a Java 17 codebase over six weeks. My final-year project, a hostel mess billing application (Spring Boot, React, MySQL), is used daily by three hostels and cut billing time from two days to twenty minutes. Both are on my GitHub, linked in my resume.

Experienced — job application

Accounts executive with 3 years applying for a senior role

Subject: Application for Senior Accounts Executive — Ref. FIN-214

Dear Mr. Khan,

I am applying for the Senior Accounts Executive role at Meridian Logistics. In three years at Shree Traders I have handled end-to-end accounts payable, monthly GST filings for a ₹12-crore turnover, and the year-end audit — the three responsibilities your posting lists first.

At Shree Traders I moved the company from manual ledgers to Tally Prime, cut month-close from twelve days to five, and cleared two years of vendor reconciliation backlog across 140 accounts. I prepare GSTR-1 and GSTR-3B independently, manage TDS returns, and coordinate directly with the statutory auditors; our last two audits closed with zero qualifications.

I am comfortable with Google Ads, Meta Ads Manager, HubSpot and campaign reporting in Sheets, and I hold the Google Digital Marketing certification. My resume is attached as a PDF.

Cover letter format for job applications in India

  • Subject line is standard. HR files applications by it. Job title plus reference number, in bold, above the greeting — and as the email subject when the letter is the email.

  • Email body or attachment — not both. "Email your resume" means the letter is the email (150–200 words, no address block). A form upload means a full block-format PDF.

  • Notice period goes in the last paragraph. Recruiters in India screen on it. "Available immediately" or "30-day notice, negotiable" — one clause.

  • No declaration, no photo, no date of birth. Those are biodata fields. A cover letter ends with the sign-off.

  • Use the resume’s header. Same name block, same font. The two documents should look like one application.

Six format mistakes that get a letter skipped

  • Repeating the resume. The letter picks two or three requirements and proves them. It does not list every job again.

  • "I am writing to apply for…". The subject line already said that. Open with the role and your strongest fit.

  • One letter for every job. The middle paragraph must use the posting’s own requirement words. A generic letter reads as generic in five seconds.

  • Templates with columns, icons or photos. The letter goes through the same ATS as the resume. Single column, plain headings, PDF.

  • Over a page. 200–300 words. If it is longer, the evidence paragraph has turned into a duties list.

  • Wrong company name. The most common mistake in emailed applications. Read the subject line and first paragraph once more before sending.

Cover letter format questions, answered
