Resignation Email
Most resignations are now delivered by email, and in most companies the email is the official record. The subject line matters — HR searches for it — and the body is a compact version of the letter.
Send it to your manager, copy HR, and send it after the conversation, not instead of it.
Sample letter
Subject: Resignation — Maya Reddy, Account Manager (last day 16 October 2026)
[Date] Hi Sameer, Following our conversation this morning, I am writing to confirm my resignation from my position as Account Manager at Bluefin Advertising. As per my notice period of 30 days, my last working day will be Friday, 16 October 2026. I have accepted a role at another agency. I will send a handover document covering each of my accounts by the end of this week and will introduce the new points of contact to clients on a schedule you are comfortable with. I have copied HR so the relieving formalities can begin. During the notice period I will ensure a complete handover of my responsibilities and will document all ongoing work. Please let me know how you would like the transition planned, and kindly confirm my last working day and the relieving formalities in writing. Thank you for the support during my tenure. Names, companies and dates are illustrative. Replace the bracketed date with the day you send it.
What to get right
- Subject line: "Resignation — Your Name" plus the last day. HR will find it in a year.
- To: your manager. Cc: HR. Never Bcc anyone.
- Attach the formal letter as a PDF if your company files one; the email body should still contain the date.
