Formal Resignation Letter

A formal letter follows the business-letter layout: your details, the date, the addressee and their title, a subject line, and a sign-off with your name and designation. It is what HR expects in most corporate and government roles.

The content is the same as any resignation; the format is the signal that you take the process seriously.

Sample letter

Subject: Subject: Resignation from the post of Assistant Manager – Operations

[Date]

Dear Mr. Venkataraman,

I hereby tender my resignation from the post of Assistant Manager – Operations at National Bank Services Ltd., with effect from the close of business on Friday, 16 October 2026, in accordance with the 30-day notice period stipulated in my appointment letter dated 4 March 2022.

I have accepted a position elsewhere that offers a scope of responsibility in line with my career objectives. I request that my resignation be accepted and that the necessary relieving formalities, including the issuance of the relieving letter and settlement of dues, be completed on or before my last working day.

During the notice period I will ensure a complete handover of my responsibilities and will document all ongoing work. Please let me know how you would like the transition planned, and kindly confirm my last working day and the relieving formalities in writing.

Thank you for the support during my tenure. I wish the company and the team continued success.

Sincerely,
R. Subramanian
Assistant Manager – Operations

Names, companies and dates are illustrative. Replace the bracketed date with the day you send it.

What to get right

  • Address it to your reporting manager by name and title; copy HR.
  • Cite the appointment letter date and the notice clause — it shows you have read them.
  • Sign a printed copy if your company files paper; email the PDF the same day either way.

Generate yours — pre-filled for this situation

Notice period, reason and tone are set to match the example above. Change anything; the last working day recalculates.
