HR Resignation Letter

HR staff know the resignation process better than anyone, and their own letters are held to it. Address the confidential material explicitly: employee files, payroll access, open investigations, and the recruitment pipeline.

Time it around payroll and any open compliance filing where you can.

Subject: Resignation — Pooja Deshmukh, HR Business Partner

[Date]

Dear Mr. Gill,

I am writing to formally resign from my position as HR Business Partner at Fortis Manufacturing. As per my notice period of 60 days, my last working day will be Monday, 16 November 2026.

I have accepted a role that broadens my scope to a regional remit. During my notice I will close the two open employee-relations cases I am handling or transfer them with full documentation, hand over the Q4 appraisal cycle and the open requisitions to my colleague, and ensure my HRMS and payroll access is revoked on my last day. I will treat all employee information as confidential after my departure, as required.

During the notice period I will ensure a complete handover of my responsibilities and will document all ongoing work. Please let me know how you would like the transition planned, and kindly confirm my last working day and the relieving formalities in writing.

Thank you for the support during my tenure. I wish the company and the team continued success.

Sincerely,
Pooja Deshmukh
HR Business Partner

Names, companies and dates are illustrative. Replace the bracketed date with the day you send it.

What to get right

  • Name the confidential items and confirm you will not retain them; it pre-empts the question.
  • Close or transfer open ER cases with documentation — half-finished investigations are the worst thing to inherit.
  • Schedule your last day away from payroll cut-off if you run it.

Generate yours — pre-filled for this situation

Notice period, reason and tone are set to match the example above. Change anything; the last working day recalculates.
