Software Engineer Resignation Letter

An engineer’s resignation is judged by the handover: undocumented services, an on-call rota with a hole in it, and credentials that only you know are what managers remember. Name the handover items in the letter.

Keep the letter itself short; put the detail in a handover document you link or attach.

Sample letter

Subject: Resignation — Dev Sharma, Software Engineer II

[Date]

Dear Ms. Menon,

I am writing to formally resign from my position as Software Engineer II at Nimbus Cloud. As per my notice period of 60 days, my last working day will be Monday, 16 November 2026.

I have accepted a role at another company that lets me focus on distributed systems, the area I most enjoyed here. Before I leave I will document the billing service runbook, transfer ownership of the two repositories I maintain, rotate any credentials tied to my account, and hand my on-call slots to a teammate with a written escalation guide.

I will do everything I can to make the transition smooth — documenting my work, briefing whoever takes over, and remaining reachable for questions. Please confirm my last working day and the relieving formalities in writing at your convenience.

Thank you for everything I have learnt here. I wish you and the team every success, and I hope our paths cross again.

With sincere gratitude,
Dev Sharma
Software Engineer II

Names, companies and dates are illustrative. Replace the bracketed date with the day you send it.

What to get right

  • List the systems you own and who takes each; it is the first thing your lead will ask.
  • Rotate shared credentials and remove yourself from on-call before the last day, not on it.
  • Do not take code with you; assume the IP clause in your contract is enforced.

Generate yours — pre-filled for this situation

Notice period, reason and tone are set to match the example above. Change anything; the last working day recalculates.
