Manager Resignation Letter
A manager’s resignation is read by their manager’s manager. It should propose a succession, agree an announcement plan, and commit to specific handover deliverables, in that order.
Do not tell your team before your own manager has agreed how and when.
Sample letter
Subject: Resignation — Sanjay Kapoor, Operations Manager
[Date] Dear Ms. Banerjee, I am writing to formally resign from my position as Operations Manager at Horizon Foods. As per my notice period of 60 days, my last working day will be Monday, 16 November 2026. I have accepted a general-management role with another company. I recommend Ravi Kulkarni as interim lead for the team — he has run the plant in my absence twice this year — and I will spend the notice period bringing him into the vendor negotiations and the annual budget. I would like to agree with you on how and when we inform the team, and I will complete the Q4 operating plan before I leave. During the notice period I will ensure a complete handover of my responsibilities and will document all ongoing work. Please let me know how you would like the transition planned, and kindly confirm my last working day and the relieving formalities in writing. Thank you for the support during my tenure. I wish the company and the team continued success. Sincerely, Sanjay Kapoor Operations Manager
Names, companies and dates are illustrative. Replace the bracketed date with the day you send it.
What to get right
- Recommend a successor or an interim plan; it is the single most valuable line in the letter.
- Agree the announcement timing before anyone else hears.
- List the two or three deliverables you will finish — budgets, plans, reviews — not "a smooth transition".

Notice period, reason and tone are set to match the example above. Change anything; the last working day recalculates.
