Retirement Resignation Letter

A retirement letter is a resignation with a longer runway and a warmer tone. Give more notice than the contract requires if you can — three to six months lets the company plan a succession properly.

Ask HR to begin the retirement formalities (provident fund, gratuity, pension, insurance continuation) in the same letter so nothing waits for your last day.

Subject: Notice of Retirement — Suresh Raman, Senior Finance Manager

[Date]

Dear Mrs. Menon,

I am writing to inform you of my decision to retire from my position as Senior Finance Manager at Lakshmi Industries, effective Wednesday, 31 March 2027. I am giving six months’ notice so that the finance team has time to plan the transition.

After twenty-two years, this is a decision I have made with a full heart. I would like to spend the coming months documenting the year-end close process, mentoring my deputy into the role, and ensuring the audit committee sees no disruption. I would be grateful if the retirement formalities — provident fund, gratuity and the continuation of medical insurance — could be initiated in parallel.

I will do everything I can to make the transition smooth — documenting my work, briefing whoever takes over, and remaining reachable for questions. Please confirm my last working day and the relieving formalities in writing at your convenience.

Thank you for everything I have learnt here. I wish you and the team every success, and I hope our paths cross again.

With sincere gratitude,
Suresh Raman
Senior Finance Manager

Names, companies and dates are illustrative. Replace the bracketed date with the day you send it.

What to get right

  • Give the exact retirement date and, if possible, more notice than required.
  • List the benefits you want processed: PF, gratuity, pension, leave encashment, insurance continuation.
  • Offer a consulting or advisory arrangement if you would like one; many companies say yes.

Generate yours — pre-filled for this situation

Notice period, reason and tone are set to match the example above. Change anything; the last working day recalculates.

Questions about this letter

At least the contractual notice; three to six months is customary for senior roles so a successor can be developed. Company policy sometimes fixes the retirement date by age, in which case the letter confirms rather than chooses it.
