Resignation Letter Without Giving a Reason

You are not obliged to give a reason, and there are good grounds not to: a reason invites debate, and it stays in your personnel file. The letter below is complete without one.

If your manager asks in person, you can say as much or as little as you like; the written record stays clean.

Subject: Resignation — Karan Malhotra, Quality Analyst

[Date]

Dear Mr. Sethi,

Please accept this letter as formal notice of my resignation from the position of Quality Analyst at Quantum Labs. As per my notice period of 30 days, my last working day will be Friday, 16 October 2026.

I appreciate the opportunities I have had here over the last three years, and I would like to make the next month as useful to the team as possible.

During the notice period I will ensure a complete handover of my responsibilities and will document all ongoing work. Please let me know how you would like the transition planned, and kindly confirm my last working day and the relieving formalities in writing.

Thank you for the support during my tenure. I wish the company and the team continued success.

Sincerely,
Karan Malhotra
Quality Analyst

Names, companies and dates are illustrative. Replace the bracketed date with the day you send it.

What to get right

  • Do not write "for reasons I cannot disclose" — it draws more attention than saying nothing.
  • Keep the thanks genuine but brief; a reason-free letter should not read as cold.
  • The exit interview is where reasons belong, if you choose to give them; it is usually not filed with the resignation.

Generate yours — pre-filled for this situation

Notice period, reason and tone are set to match the example above. Change anything; the last working day recalculates.

Questions about this letter

No. It is standard, and HR departments see it every day. Courtesy is in the notice, the handover and the tone, not the reason.
